A Practical Automotive Lead Qualification Checklist.

A lead is an inquiry. A qualified booked appointment is an inquiry that meets agreed service, location, authority, budget, and timing requirements, confirms the appointment, and is actually on the calendar. Use this guide to keep lead counts, bookings, completed work, and customer acquisition costs separate.

See If Your Shop Qualifies

Client funds advertising separately. Qualification requirements and guarantee terms apply.

Define the stages before judging the campaign

Use consistent stages: inquiry received, contacted, qualified, booked, attended, customer, and revenue recorded. Decide what evidence moves a record into each stage. A form submission is not a conversation; a conversation is not an appointment; an appointment is not a sale.

Choose one definition of a customer for reporting, such as a new paying customer with completed work. If the same person submits another form, that should not automatically become another unique inquiry or customer. Record additional jobs separately so repeat work does not inflate new-customer counts.

Check seven things before calling an appointment qualified

Confirm the promoted service, the agreed service area, authority over the vehicle, the agreed price or budget expectation, a genuine need and realistic timeline, customer confirmation, and an actual calendar booking. These are the general criteria shown in Ickle Hub’s current offer; the agreed campaign details determine how they apply.

If a detail is missing, mark the inquiry as needing qualification rather than guessing. A driver asking for a service outside the offer is not qualified for that campaign. A customer who is inside the service area and accepts the budget is still not booked if there is no confirmed appointment.

Use the questions that fit the service

For ceramic coating, ask which package the customer is considering and whether preparation or correction needs a shop assessment. For PPF, clarify the vehicle and coverage. For premium detailing, establish the service scope and the relevant price expectation.

For automotive tint, clarify the vehicle and coverage or film package. For wraps, distinguish a retail colour change from commercial graphics and identify the decision-maker and project scope. The qualification process gathers context; technical recommendations and final quotes remain the shop’s responsibility.

Make the booking handoff specific

Record the appointment type, date and time, agreed next step, and the information the shop needs to honour it. If the visit is an inspection or consultation, describe it that way. Do not report it as a paid installation.

Keep calendar availability and pricing current. Track cancellations, no-shows, and reschedules consistently. A reminder helps communicate an appointment; it does not prove the customer attended. After the visit, record the outcome and collected revenue only when the shop can verify it.

Calculate customer acquisition cost from completed outcomes

Advertising-only acquisition cost equals advertising spend divided by new customers acquired. A fuller campaign acquisition cost adds the management fee and other direct acquisition expenses before dividing by those customers. Name which version you are reporting so the comparison is fair.

For a hypothetical example, assume $1,200 in ads, $800 in management, and eight new paying customers with completed jobs. Advertising-only acquisition cost is $150 per customer. Including management, it is $250 per customer. These rounded figures are an educational example, not Ickle Hub pricing, client results, or a forecast.

Check contribution before calling the campaign profitable

Continue that hypothetical example: if each of those eight jobs produces $1,000 in sales and costs $600 to deliver, contribution before acquisition is $400 per job. Eight jobs produce $3,200 before acquisition. Subtracting the $2,000 campaign cost leaves $1,200 before other overhead, taxes, refunds, and costs not included in the example.

Sales divided by ad spend would look much larger than the amount left over. Neither sales nor advertising return alone establishes profit. Use your actual collected revenue, delivery costs, acquisition expenses, and completed-customer count; do not treat illustrative dashboard figures as evidence.

Review the bottleneck, then change the right step

If inquiries are arriving but few people are reached, inspect response and contact details. If conversations happen but few qualify, inspect the offer, targeting, and price expectations. If qualified prospects do not book, inspect the next step and availability.

If bookings do not attend, inspect confirmation, reminders, and whether the customer understood the appointment. If people attend but do not buy, the shop needs the reason recorded. This sequence is an operating review, not proof that one cause explains every weak campaign.

How Ickle Hub fits into this process

Ickle Hub connects paid advertising, lead capture, CRM organisation, follow-up, qualification, appointment booking, reminders, and reporting for automotive appearance shops. Tracking customers and revenue depends on the data each shop can supply.

Use the application if you want to discuss that system for your shop. The homepage explains the current offer and conditional appointment guarantee. This checklist does not expand that guarantee or promise a particular number of paying customers.
